Departmental Overview
Physics is the largest department in the L&S Division of Mathematical and Physical Sciences. It is ranked as one of the top physics departments in the world, with excellence in research, teaching, and service to the community all highly valued. The department has 80 ladder and active emeriti faculty, 60 career and casual staff, and 300 lecturers, teaching assistants, readers, research personnel, postdocs, fellowship recipients, and visiting scholars. It enrolls 250 graduate students, 250 undergraduate majors, and over 7,000 students in its courses, many with laboratory sections. Its faculty fully participates in teaching and administration and conducts world-class research in campus, local, national, and international laboratories and sites; research activities require active financial arrangements with organizations such as Lawrence Berkeley National Lab. Physics manages 3 distinct campus buildings in its facilities complex with 240,000 assignable square feet, and it also houses and provides services to several research centers, the Physics Library, and multiple research Laboratories with varying physical environments. It has an active fundraising program.
The Network for Neutrinos, Nuclear Astrophysics, and Symmetries (N3AS) is a National Science Foundation Physics Frontier Center that was established in the Physics Department in 2020. It is a multi-institution collaboration dedicated to the recruitment and training of postdoctoral researchers interested in neutrino physics and astrophysics, nuclear astrophysics including supernovae, neutron stars, and dark matter, nucleosynthesis, and tests of fundamental symmetries. It also hosts a group of undergraduate research apprentices. Additional support for N3AS activities comes from the Heising Simons Foundation.
The Remote Experience of Young Engineers and Scientists (REYES) is a virtual summer program designed to give students the opportunity to learn and interact with world class researchers. This program normally hosts hundreds of students at no cost, and it provides them with free classes, guest lectures, and hands-on research-based mentoring.
The Berkeley Center For Cosmological Physics (BCCP) is focused on understanding the origin and evolution of the universe through a series of programs to define the observations and simulations, combining experimentation, computation, and theory. BCCP continues to develop the foundation of an accurate, reliable model of the cosmos, comparing the implications of this evolving model against observations - thus opening new horizons and expanding our knowledge of the universe.
This position is designed to organize throughout the year multiple events for students, postdocs and scientists of various level of seniority connected by national and international networks. The event specialist independently manages small, non-complex monthly or weekly events, as well as hiring students or temporary staff as needed for such events. The professional also coordinates various aspects of events and functions, which may include symposia, conferences, summer schools, program events, online meetings, and receptions.
**This is a 1-year contract opporunity with the possiblity of extension and/or conversion to career.**

Responsibilities
25% Plans, organizes and implements mid-size yearly events such as symposia, conferences, summer schools, faculty events, banquets, and external reviews. Assists in determining and reviewing event requirements and budget parameters for the events.
25% Manages small events with guest speakers and students throughout the academic year. Conducts detailed planning including event development, communications, coordination, implementation, and post-event evaluation.
20% Responsible for specific event activities such as registration, catering, program drafting and publicity, accommodation, transportation and parking.
10% Provides logistical support for Zoom webinars and online courses that involve partner institutions or remote participants.
10% Responsible for scheduling spaces, participant communications, publicity, information distribution, creating status reports, and troubleshooting problems that arise.
10% Maintaining strong working relationships with constituents, both internal and external, i.e. faculty, postdocs, and students associated with Berkeley or its partner institutions; department and research administrators; and campus administrators.
Required Qualifications

• Demonstrated capacity to organize events, workshops, and schools, preferably in academic settings.
• Good organizational skills, including the ability to manage details and handle multiple tasks under time pressure, while coordinating with others and maintaining a very high reliability, as is required in managing event arrangements and schedules.
• Knowledge of and/or ability to learn software systems, spreadsheets, calendar management, and other complex tools commonly used at Berkeley.
• Strong interpersonal skills, including the ability to function effectively in team settings, as demonstrated through past work or educational experience.
• Ability to work in diverse groups, including but not limited to students, staff, faculty, visiting scholars and the general public.
• Ability to work professionally under pressure and under tight deadlined, responding calmly and effectively.
• Bachelor's degree in related area and / or equivalent experience/training.

Preferred Qualifications

• Familiarity with campus programs, policies, and procedures, or the capacity to quickly acquire such familiarity, as demonstrated through past work experience.
• Knowledge of travel booking system, knowledge of UC policies governing reimbursements for speakers, vendors, and visiting scholars.
• Experience in supporting programs that are multicultural, involving participants with varied backgrounds and nationalities.
• Ability to work with or support graduate and undergraduate students.

It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.
The budgeted salary or hourly range that the University reasonably expects to pay for this position is $27.06 to $46.60 hourly.
